Church Administrator / Administrative Assistant

Position Description: Church Administrator / Administrative Assistant


I. Purpose of Position

To advance the mission and ministry of Huber Heights Church of God by providing professional administrative, communication, and organizational support to the pastoral staff, church leadership, and congregation. This role strengthens the effectiveness of the church through excellent service, clear communication, and faithful stewardship of information and resources.

III. Description of Responsibilities

1. Reception and Congregational Care

  • Serve as the first point of contact for the church by phone, email, social media, and in person with a welcoming, Christ-centered attitude.
  • Respond to inquiries about the church’s beliefs, ministries, and activities; provide appropriate resources and referrals.
  • Receive prayer requests and share them with designated pastoral staff or prayer teams in a confidential manner.
  • Assist visitors, members, and community partners with general information and support.



2. Administrative & Clerical Support

  • Prepare, edit, and distribute weekly bulletins, newsletters, correspondence, reports, and other publications.
  • Maintain the church calendar and coordinate scheduling of meetings and events.
  • Create and maintain digital and hard-copy filing systems for correspondence, minutes, membership records, and other documents.
  • Provide administrative assistance to the Senior Pastor, Associate Pastor(s), and church leadership teams.

3. Office Management

  • Organize and prioritize daily office workflow in consultation with the Senior Pastor.
  • Order, maintain, and inventory office supplies and equipment.
  • Ensure proper maintenance of office machines (copier, printer, scanner, phone system, etc.).
  • Maintain accurate records retention in accordance with church policy.

4. Communications & Social Media Management

  • Manage the church website, social media platforms, and digital communication tools.
  • Create and schedule posts that promote worship services, ministries, and events in coordination with pastoral staff.
  • Monitor online messages and comments, responding appropriately or forwarding to staff.
  • Uphold church branding and communication standards across all media.

5. Financial & Facility Support

  • Assist with basic bookkeeping tasks as assigned (record keeping and reporting).
  • Support banking procedures and financial documentation in coordination with treasurer and financial secretary.
  • Manage facility use requests, reservations, and key distribution.
  • Maintain records related to building usage, vendors, and service providers.

6. Other Duties

  • Support church teams and ministries with approved administrative needs.
  • Participate in special projects or events as requested by the Senior Pastor.


IV. Priorities of Work

Time and effort will generally be allocated in the following order:

  1. Essential communications for worship and congregational life (bulletins, newsletters, announcements, visitor follow-up).
  2. Administrative support for the Senior Pastor.
  3. Support for Associate Pastor(s) and ministry leaders.
  4. Assistance to official boards, committees, and recognized ministries.


V. Qualifications

  • Friendly, professional demeanor that reflects high moral character and is consistent with Christian values.
  • Excellent organizational skills and attention to detail.
  • Strong computer proficiency including Microsoft Office/Google Workspace and church management software.
  • Strong written and verbal communication skills; ability to proofread accurately.
  • Experience with social media platforms and digital communication tools.
  • Ability to operate standard office equipment.


VI. Requirements

  • Maintain strict confidentiality regarding church business and personal information.
  • Participate in regular staff meetings.
  • Maintain accurate timesheets and work records.
  • Support the mission, vision, and doctrinal position of Huber Heights Church of God.


VII. Accountability & Evaluation

  • The Administrative Assistant reports directly to the Senior Pastor.
  • Annual performance and compensation reviews will be conducted by the Senior Pastor in conjunction with the Governance Board.


VIII. Compensation

  • Hourly position up to 25 hours per week, with additional hours as authorized by the Senior Pastor. Office hours are Monday through Friday, 9am - 1pm.
